Information we collect
When you book, we collect your first name, last name, email address and telephone number, together with booking details such as your chosen event, ticket quantity, payment status and booking reference. We also keep information you provide when contacting us.
Our website and payment services may process billing information, transaction references, IP addresses, device and browser information, and security information needed to operate the checkout and help prevent fraud. The information involved depends on the payment method and services used.
Where you consent to Google Analytics, information about your website visit may be collected, including pages viewed, interactions, approximate location, device and browser details, and online identifiers.
If someone books on your behalf, we may receive your details from that person. Please share this policy with anyone whose information you provide to us.
How and why we use information
We use booking and contact information to process orders, provide tickets, run events, send essential updates and handle cancellations or refunds. Our lawful basis is performing our contract with you or taking steps at your request before entering into that contract.
We use relevant transaction records to meet accounting, tax and other legal requirements. Our lawful basis is compliance with legal obligations.
We use information where necessary to answer enquiries, secure our website, prevent misuse and fraud, and manage complaints or legal claims. Our lawful basis is our legitimate interests in running and protecting the business, balanced against your rights and interests.
We use Google Analytics through Google Site Kit to understand how visitors use our website and identify improvements. Our lawful basis for this optional analytics processing is your consent.
If we offer email or text marketing, we will ask for your consent before sending it. You can withdraw that consent at any time by using the unsubscribe option or contacting us. Essential booking messages are separate from marketing.
If you do not provide information reasonably needed to process a booking, we may be unable to accept or fulfil it.
Payments
Online payments are processed through WooPayments, which works with Stripe. These services process information needed to authorise payments, manage refunds and help detect fraud. We receive information such as payment status and transaction references so that we can manage your booking.
Our website does not store your full payment card number or card security code. Payment providers may also use information for their own legal, security and fraud-prevention purposes under their privacy notices.
Further information is available in the privacy notices at https://automattic.com/privacy/ and https://stripe.com/privacy.
Who receives information
We share relevant information with providers needed to operate our business, including website hosting, email, IT support and payment processing services. Where you consent to analytics, Google receives information through Google Analytics. Providers receive information appropriate to the services they perform.
Where necessary, we may also share limited information with event staff or venues to manage attendance, professional advisers to obtain advice, and authorities where disclosure is legally required.
We do not sell personal information or use advertising tracking on our website.
Where information is processed
Although our events are local, technology providers such as Google and our payment providers may process personal information outside the United Kingdom, including in the United States.
Where information is transferred outside the United Kingdom, the applicable protection may include UK adequacy regulations or approved contractual safeguards, depending on the provider and destination. You can contact us for details of the safeguards applicable to your information and how to obtain a copy.
Google explains its processing and transfer arrangements at https://policies.google.com/privacy. Information about our payment providers is available through the privacy notices identified above.
How long we keep information
We retain booking and transaction records for as long as reasonably needed to fulfil your booking, meet applicable accounting and tax requirements, and deal with complaints or legal claims. We determine the period by reference to the legal requirements and claim periods relevant to the records, retaining only information needed for those purposes.
We delete or anonymise routine enquiries and operational contact details when they are no longer needed. Information relevant to an unresolved dispute may be retained until the matter is concluded and any applicable legal retention period has ended.
Analytics information is retained according to our Google Analytics retention settings and is used only for as long as needed to understand and improve website performance. You can contact us for the current retention settings.
If you consent to marketing, we retain the relevant details until you unsubscribe or they are no longer needed. We may retain a minimal suppression record to ensure we respect your preference not to receive marketing.
Cookies and Google Analytics
Our website uses cookies and similar technologies to support functions such as the basket, checkout and security. Technologies that are strictly necessary to provide a service you request do not require your consent.
We also use optional Google Analytics cookies through Google Site Kit to measure website use. We ask for your consent before enabling these analytics technologies. You can accept or reject analytics through our cookie controls and change or withdraw your choice later through the website’s cookie settings.
Rejecting analytics does not prevent you from browsing the website or booking tickets. We do not use advertising tracking.
Our cookie controls provide further information about the cookies used, their purposes and durations. You can also manage cookies through your browser, although blocking essential cookies may affect the basket or checkout.
Keeping information secure
We use appropriate technical and organisational measures to protect personal information and limit access to people and providers who need it for their work.
Your rights
Depending on the circumstances, you may ask to access your personal information, correct inaccurate information, have information erased, restrict its use, or receive information you provided in a portable format. These rights are subject to the conditions and exceptions in data protection law.
You have the right to object to processing based on legitimate interests. You also have an absolute right to object to the use of your personal information for direct marketing.
Where we rely on consent, you can withdraw it at any time. Withdrawal does not affect the lawfulness of processing carried out before you withdrew consent.
Contact Email us to exercise your rights. We normally respond within one month. If a lawful extension applies or we need information to verify your identity, we will explain this. Requests are normally free of charge.
Privacy complaints
Please contact Email us or telephone 07435 561258 if you have concerns about how we handle your information.
You also have the right to complain to the Information Commissioner’s Office at https://ico.org.uk/make-a-complaint/ or on 0303 123 1113.

We may update this policy to reflect changes in our services or legal requirements. The latest version and its update date will appear on this page. Where required, we will bring significant changes to your attention.
